A year of speakers is hard to keep straight

The stake president may assign high councilors to speak and decides how often (General Handbook 29.2.1.4). Assigning is the easy part. Keeping the plan current is not.

The schedule lives in a spreadsheet, and half the high council has an old copy.
I booked a high councilor into a ward the same month as its conference. We caught it the week before.
Every swap means another round of messages to the speaker and the companion.
How it works

Plan the year in four steps

Find it under Meetings, on the Speaking assignments tab.

Open the year

Your wards run down the side and the twelve months run across. Use the arrows to move between years. On a phone, it shows one month at a time.

Pick the speaker

Click a ward's month. Search for someone with a Wardzen account in your stake, or type any name, then add a topic and, if you like, a companion.

Conference months skip themselves

A month with stake conference is blocked in every ward, and a ward conference you plan in Meetings blocks only that ward. General conference months stay open.

Speakers see their own

A speaker or companion you picked from the list sees the assignment on their Wardzen home page, with the ward, the month and the topic.

Kept by the stake, seen by the speakers

Only stake leadership can change the schedule. Speakers and companions with a Wardzen account see their own part.

Stake president and counselors

Assign, change and clear any ward's month, and set the topic and the companion.

Stake clerk

Can do the same, and is often the one who keeps the schedule current.

High councilors

See their own upcoming assignments on their Wardzen home page: the ward, the month and the topic.

Companions

A companion, such as a member of a stake organization presidency, sees the same card, marked Companion.

The stake plans high council speakers, so there's nothing for a ward to set up.

Stake, general and ward conferences you plan in Meetings show as blocked months, so no one gets booked into them.

Speakers and companions with a Wardzen account see their upcoming assignments on their home page.

Questions about speaking assignments

Who can set the schedule?

The stake presidency and the stake clerk.

Can a bishopric or ward clerk use it?

No, it's a stake tool. The schedule stays with the stake, which shares it with its wards the way it does today.

Does the high councilor need a Wardzen account?

No. You can type any name. If the person has an account in your stake and you pick them from the list, they also see the assignment on their home page.

What happens in a conference month?

That month is blocked for the ward and cannot be assigned. Stake conference blocks every ward. A ward conference blocks only that ward. General conference months stay open. Conferences count once you have planned them in Meetings.

Who decides who speaks, and how often?

The stake president (General Handbook 29.2.1.4). Wardzen does not choose for you. It holds your plan: one speaker, an optional companion and an optional topic for each ward and month.
