Who keeps the keys
Keys and buildings are for the leaders who look after them. A key holder is just a name you type, so nobody else needs an account.
Bishop and counselors
Add, change and remove the ward's keys, record the ward's yearly audit, and read the stake's buildings in Settings.
Ward clerk
Has the same access to keys as the bishopric: update them as they change hands and record the audit.
Stake president and counselors
See every linked ward's keys in one read-only list, record an audit for any ward, keep the stake's own keys and edit the buildings.
Stake clerk
Has the same access as the stake presidency to the stake's keys, every ward's keys, the audits and the buildings.
On its own, or linked to your stake
Each ward manages its own keys. Linking lets the stake see them too.
A ward on its own
The ward keeps its own key list and runs its own yearly audit. Buildings belong to a stake, so a ward on its own has none until it links to one. The Handbook has the bishopric give building keys to ward leaders (General Handbook 35.2.7); Wardzen keeps the record of who received which.
A ward linked to its stake
The ward keeps managing its own keys, and now reads the stake's buildings in Settings › Buildings. The stake sees the ward's keys in one read-only list. If the ward leaves, the stake's view goes away and nothing is deleted.
At the stake
The stake keeps its own keys, sees every linked ward's keys in one list (group them by ward), and gets a row per ward on the Audits tab with overdue wards flagged. It can record an audit for any of its wards, and it keeps the buildings.

Small on purpose: a list of keys, a yearly check, and a page of buildings.
Five statuses, counted
Assigned, On hand, Never returned, Lost or Stolen. Each shows how many keys it holds, so a missing key stands out.
Find any key fast
Search by key ID, what it opens or who holds it. Filter by status, organization or, at the stake, ward. Sort by number, holder or status, and group the list.
A yearly audit for each ward
Record the date and who did the check. Each ward's row shows how many keys it has, how many are outstanding and when it was last audited. A ward more than a year past its last audit, or never audited, is flagged as overdue.

A linked ward keeps managing its own keys. Its stake sees them in one list and can record an audit for any of its wards.
Buildings with scheduler contacts
Each building has a name, an address, the scheduler's name, email and phone, and notes. The stake edits them in Settings › Buildings; its wards read them.

Questions about keys and buildings
Who can see the keys?
The bishopric, the ward clerk, the stake presidency and the stake clerk. Every leader can read the stake's buildings in Settings, and the stake presidency and stake clerk keep them current.
Does a key holder need a Wardzen account?
No. The holder is a name you type, and Wardzen never contacts them. Only leaders have accounts.
Can the stake change a ward's keys?
No. The stake sees them in one read-only list and can record an audit for any of its wards. The ward adds, edits and removes its own keys.
Does my ward need its stake on Wardzen?
No. A ward can track its own keys and run its own yearly audit on its own. Buildings belong to a stake, so a ward on its own won't have any until it links to a stake that has added them.
What happens to our keys if a ward leaves the stake?
The ward keeps all of its keys and audits. The stake stops seeing them. Nothing is deleted.
